Euan McConnell Ltd has an opportunity for someone to join its team as a full-time Office Administrator. The position is based in south-west Scotland, outside of Newton Stewart.

The details of the position are:

Job Description: Office Administrator – Renewable/Engineering Industry

Reports to: Managing Director

Roles and Responsibilities:

  • Organise and supervise all administrative activities that facilitate the smooth running of the office.
  • Manage projects set by the Managing Director in an organised, efficient and professional manner.
  • Manage paperwork in the office appropriately, i.e. dealing with and filing.
  • Implement systems to meet quality assurance standards for paperwork.
  • Professional manner when liaising with customers, suppliers and staff.
  • Screen phone calls, enquiries and requests, and handle them when appropriate.
  • Book-keeping. Bank reconciliations, entering receipts and preparing payment reports.
  • Staff payroll.
  • Organising staff induction, training and uniforms.
  • Manage staff time sheets and collating items for invoicing.
  • Maintain a database of staff holidays.
  • Maintain a database of Planning, SEPA CAR, SPEN and Ofgem applications.
  • Purchasing stationary and office equipment when necessary.
  • Insurance renewals.
  • Reviewing and updating Company Health and Safety policies and ensuring that they are observed by all members of staff.
  • Maintaining office computers with virus updates, software updates and back-ups.
  • Dealing with the post and emails.
  • Taking meeting minutes.
  • Meeting and greeting visitors.
  • You may at times be required to carry out duties not shown in the outline job description above.

Good knowledge of computers including software such as email, spreadsheets (Excel), word processing (Word). Book keeping experience would be preferred, ideally in Sage. A copy of their full UK driving licence is also required.

Strong literacy and numeracy skills essential.
